About the College/Department The Law Library is a department within the Law School and is responsible for the acquisition, maintenance, and organization of all electronic and print resources used by Law School faculty and students. The Law School Information Technology Services is also a part of the Law Library. Department Home Page ************ Job Type Staff Summary of Job Duties The Administrative Assistant will assist in preparing, filing, and maintaining statistical and budgetary reports including purchasing, travel and leave matters; generate and maintain weekly flextime schedules and monthly timesheets for Law Library and Information Technology staff; maintain records and provide support for TimeTrax time clock; input leave intoBASISincluding compensatory time and overtime; generate and maintain all travel authorizations and claims for Law Library staff travel card users and input appropriate information intoBASIS; generate and maintain all travel authorizations and claims for Law Library administrative travel card uses and input appropriate information intoBASIS. The Administrative Assistant will assist all Law Library and Information Services staff with making travel arrangements as necessary; maintain inventory, order, and keep records for all supplies, furniture, and other purchases for the Law Library; input into order information into Razorbuy as necessary; correspond with vendors as needed to solicit quotes, investigate purchase options, coordinate deliveries and installations, and request warranty work as needed and as directed by Law Library administration; use university procurement card as appropriate to place orders on behalf of the library. The Administrative Assistant will assist Law Library Administration in developing and revising policy and procedures for Law Library purchase, leave, and travel; use Law Library Administration's guidelines to interpret all Law Library policies, procedures, and directives to ensure consistent application for all Law Library and Information Technology staff; provides information, assistance and clarification as needed to Law Library staff on Law Library purchase, leave, and travel procedures and policies; oversee functioning of surplus system and input data intoAIMSsystem for surplus for both Law Library and Law School; coordinate all activities of the Library Social Services Committee; schedule, set up, take minutes, and produce reports of all Law Library and Information Technology staff meetings and other meetings as required; receive all incoming US Postal mail andUPS, FedEx, and similar deliveries for the Law School and the Law Library, sort, and distribute it to the appropriate individuals and departments; collect outgoing US Postal and University mail from the Law School and the Law Library and make it available for pick-up by the University mail service; deliver outgoing mail to the Campus Post Office when needed; update, maintain and, as necessary, produce basic information regarding Library operations to be posted on Library website, informational flyers, and signage.
